Army National Guard in the Eastern United States

CHALLENGE: The Army National Guard in the East needed to refresh their link to iPERMS, an army–wide, cloud-hosted solution used by all members of the National Guard to index and categorize employees
within their iPERMS document management system.

Documents needed to be indexed by name, Social Security number, activity status, ranking, as well as other variables, and data needed to be able to be seamlessly separated once entered into iPERMS.

Prior to working with Konica Minolta, and NSi, they were using a TWAIN scanner connected via USB hub to a workstation to scan in the documents. Once the documents were scanned in, the client had to manually edit and index the documents in iPERMS. The scanners were slow
and they could only do about a one page/minute.

SOLUTION: Konica Minolta multifunctional printers (MFPs), integrated with the NSi Autostore solution, allowed the client to automatically index all the documents directly
from the panel of the MFP directly into iPERMS. They also needed secure linking, indexing of scanned documents, CAC authentication, and the ability to track records by rank in order to create an audit trail. The NSi Autostore solution was able to link and index documents securely and maintain an audit trail. Also the solution gave the client the ability to print bar code cover sheets that could be used to index all of the documents.

ROI: The client was able to decrease time through the workflow from approximately 1 page/minute to 50/pages per minute.

A Government Agency that Supports the US Housing Market

CHALLENGE: A government agency that oversees vital components of our country’s secondary mortgage markets needed a way to scan and route documents while protecting their identity. As part of their ongoing operations, they process large volumes of financial and legal documents. To support their mission of providing effective supervision and regulation to the housing and mortgage markets, it was critical for them to deploy a system that optimized the throughput of scanned documents and conversion to electronic searchable format for accurate indexing and easy retrieval. They also required a solution that protected sensitive documents from exposure.

SOLUTION: As an integral part of their MFP implementation, Konica Minolta incorporated NSi AutoStore to easily and quickly scan and route financial and legal documents.

ROI: As a result, they were able to save time and money while protecting the identity of individuals.

VA Hospital in the Western United States

CHALLENGE: A VA hospital needed to find a local vendor that could support new regulations for all devices on the network to be PIV/CAC enabled across the area since all government entities were mandated to authenticate user access on all network devices. The organization also needed to provide a faxing and scanning solution with Optical Character Recognition (OCR) capabilities.

SOLUTION: KMBS provided the authentication through its bizhub line of devices with a CAC/PIV solution and partnered with NSi Autostore to comply with fax/scan documents with OCR requirements, eliminating the need for desktop software. The customer’s need for compliance with electronic health records when faxing/scanning was also critical. By implementing the NSi Autostore solution, the client was able to maintain an audit trail of routing the fax/scan into a secure network folder using OCR as needed prior to arrival at the destination folder.

ROI: Limiting liability access and providing an audit trail were of high importance to protect EHR and be in compliance with the new regulations. With the Konica Minolta solutions, the client was able to safeguard the information and limit the audit fines for non-compliance. The client also was able to save costs on OCR conversion desktop software, such as Adobe software.

Military College in the Eastern United States – CHALLENGE: A U.S. Army educational institution was unable to integrate the Common Access Card (CAC) solution with MFPs to secure scanning to network folders.

ROI: The college now experiences secure scanning of documents and functionality they did not have before, as well as an audit trail of documents.

Military College in the Eastern United States – CHALLENGE: A U.S. military college needed the scanning and printing of documents to be done securely. The client has a large fleet and

copiers and many different end users.

SOLUTION: KonicaMinoltarecommendedusingtheCommonAccessCard(CAC)solutionwithalloftheirmultifunctionaldevices. The end user is required to use their CAC card when scanning or printing using an MFP. This embedded solution provides the duel authentication requirement and also improves ROI.

ROI: The college has achieved significant cost savings by printing documents using the CAC card solution. They have reduced waste by 25 percent utilizing CAC cards for color printing.

Military College in the Eastern United States – 
CHALLENGE: A U.S. military college need more control at the MFP and had serious concerns

about sensitive information being compromised at the device.

SOLUTION: Konica Minolta recommended that the college implement bizhub SECURE services, which would enable the college to sanitize the hard drive on their MFPs to NASA level 7 security. Konica Minolta also recommended using the Common Access Card (CAC) solution with all of the college’s multifunctional devices.

ROI: bizhub SECURE allowed the college to save over $50,000 by avoiding security breaches.
