uniFLOW Online’s latest release delivers the next level of user sign-on by offering passwordless user accounts. This new approach for user accounts follows prominent industry leaders. The latest release also provides custom metadata entries for scanning into local network folders. This feature enhances the uniFLOW Online scanning capabilities; it enables the storage of scan jobs in a local document management system (DMS), including all the metadata required by the scan destination.

Introducing passwordless user accounts

Passwords are hard to remember and present a security risk as they are often reused for different services. Administrators dislike passwords for the same reasons, and 81% of data breaches involve weak, default or stolen passwords. Following industry-leading corporations, uniFLOW Online 2022.1 introduces a new principle: users log into their account and register uniFLOW Online applications, such as the uniFLOW SmartClient, via a one-time email link. This login process is available to non-privileged users for all apps and significantly simplifies the setup and registration of the uniFLOW SmartClient, reducing IT involvement.

Custom metadata design for scanning to a local folder

Although the usage of cloud services is rising, many on-premise DMS are still being utilized by businesses for file storage. End of last year, NT-ware introduced the workflow “Scan to local network folder,” allowing for scanning documents into a local DMS with a fixed set of metadata. uniFLOW Online 2022.1 now enables businesses to easily combine any on-premise DMS without sacrificing any functionalities. Custom-built metadata templates, uploaded to uniFLOW Online, allow a robust document scan process to suit a customer’s exact DMS requirements. The solution increases office productivity, helps streamline document processes, and reduces manual errors.

Additional highlights

This release also enhances the Therefore™ Online support in Filing Assist by displaying all case or reference fields defined in Therefore Online in a coherent table. The correct entries can be searched for and selected from known data e.g. date of birth. For SharePoint Online, users can now change the content type e.g. from ‘Invoice’ to ‘Shipping Note,’ and different metadata fields are displayed based on the selected content type.

Furthermore, new widgets are introduced for users and administrators to encourage sustainable printing behavior and provide users with insights on their scanning activities.

Improvements affecting existing customers

  • Passwordless user accounts – Customers who have email self sign-up (including allowed domains) enabled, migrate to the new simplified login process automatically. The login window is updated accordingly to this new login/registration process. A central email entry dialogue will replace the prominent uniFLOW Online account and Email sign-up buttons of the previous login window. Alternatively, existing users can click the link below the email entry box, which will open a window to enter their ‘uniFLOW Online Account’ credentials.
  • Change in print job lifetime settings – Setting the print job lifetime has been changed to a fixed set of options. Existing configurations are adapted automatically to follow the new standard values.
  • Folder Path Rule parameters removed – The ‘Current minute’ and ‘Current second’ parameters have been removed from the folder path parameters. Scan profiles that are already deployed will continue to work for existing customers. Still, these tokens will no longer be available when a template is updated.
  • STOP for Internet Explorer 11 support – If usage of Internet Explorer is detected, a banner message informing the user of this will be displayed.

Continuous improvements

All core uniFLOW Online functionalities are continuously upgraded; many additional minor enhancements and bug fixes are included with uniFLOW Online 2022.1.
