PROBLEM

An ever-changing staff of volunteers at a rehab facility resulted in problems with scanning – inconsistent naming, inaccurate filing, troublesome retrieval.

SOLUTION

TASKalfa MFPs with DMS Link 4.0 simplified and streamlined scanning, with pop-up menus, standardized naming, and folder trees for choosing destinations.

BACK STORY

Well-intentioned volunteers at a rehab facility were doing their best to help manage the constant influx of patient documents by scanning and filing. The trouble was they each had their own way of doing it. The results were inconsistent and inaccurate… with a large margin for human error.

The facility contacted their Dealer to question whether their current KYOCERA devices might be the problem. The KYOCERA team that was dispatched immediately conducted a document workflow analysis, and found that their existing system was too complex.

The team suggested four TASKalfa 3500i MFPs equipped with DMS Link 4.0, to create an easy-to-use standardized workflow in which the user simply enters the patient ID and then chooses the document type from an intuitive pop-up menu. The KYOCERA devices would do the rest, automatically formatting the name, and displaying a folder tree with destination options.

The facility directors were so pleased with the results they never even considered what other document management companies might have to offer, choosing instead to go with the total document solution from KYOCERA.
