August 10, 2022, Toronto, ON – Crawford Technologies, provider of innovative document solutions that streamline, improve and manage customer communications, announces it has been recognized by Xplor International with two Honorable Mentions for the 2022 Xplor Awards—one for Technology of the Year for the company’s AccessibilityNow® Validator and one for Application of the Year for its work with the State of Tennessee, the 10th largest in-plant in the United States. Xplor’s Awards program recognizes products and applications of technology that are transforming the industry by expanding the capabilities of document and communication systems.

Crawford Technologies won an Honorable Mention for its State of Tennessee print site consolidation and hyperautomation workflow application, an initiative that standardized operational tasks for the State of Tennessee while providing greater visibility and auditing to its customers and departments. The State of Tennessee wanted to create a single consolidated, automated job management system that would oversee and manage the complete portfolio of its work and provide a secure, centralized view for managers, yet still control the various service levels and complexity required by each application.

The project involved creating and deploying the 100% mail tracking and verification system for the state’s transactional workflow. This involved documenting hundreds of applications and then using Crawford Technologies’ normalization solution to create business standards. Next, the State of Tennessee’s in-plant team had to connect every data file and mail piece to equipment and auditing systems to provide a robust modern document workflow backbone. Crawford Technologies’ PRO Conductor, a low code, hyperautomation workflow software solution, was then deployed to migrate applications from the mainframe to PRO Conductor. To accomplish the migration, the State of Tennessee’s and Crawford Technologies’ services teams worked together to create an Application Migration Interface Table. This enabled jobs to be moved seamlessly without the need for IT resources, saving countless hours and fast-tracking deployment by months.

Major benefits of the project to the State of Tennessee include:

  • Reduced the physical production footprint from 115,000 square feet to 95,000, saving $250,000 per year.
  • Inkjet installation operational savings of $180,000 per year.
  • Outgoing mail turnaround time improved from 3 to 5 days to same day turnaround.
  • The automated workflow reduced overtime by 85%, which resulted in savings of almost $100,000 per year.

“Our state agencies and citizens expect their data to be protected and for each mail piece to go out correctly every time. This project with Crawford Technologies has enabled us to incorporate the state-of-the-art mail integrity our customers expect,” said Tammy Golden, assistant commissioner of document solutions, State of Tennessee.

Crawford Technologies was recognized with the second Honorable Mention for the company’s AccessibilityNow Validator. With document accessibility regulations increasing, AccessibilityNow Validator brings to market a highly detailed automated solution for fully checking PDFs to determine a document’s level of compliance to WCAG 2.0/2.1 and PDF/UA requirements. The tool was purpose-built with an open architecture and APIs to make it possible to integrate within any workflow. AccessibilityNow Validator can be used as a stand-alone tool or in combination with any of Crawford Technologies’ document remediation solutions, as well as with any application that creates PDF files.

AccessibilityNow Validator is already in use in several large financial institutions and major healthcare and insurance companies. It has quickly become an instrumental part of their accessibility compliance strategies. AccessibilityNow Validator is a key component in the AccessibilityNow DocMD and AccessibilityNow Dashboard services and is available in the AccessibilityNow Gateway and AccessibilityNow Gateway Cloud solutions.

“Crawford Technologies consistently pushes the envelope of technology with their innovative and forward-thinking approach to customer communications,” said Skip Henk, EDP, president and CEO of Xplor International. “Their submissions for the State of Tennessee and for AccessibilityNow Validator not only exemplify their commitment to technology, but also to the mission of their customers.”

Xplor International is a not-for-profit association that provides thought leadership to the customer communications industry. As a community, Xplor provides advocacy, education, training, mentoring and networking opportunities. The awards will be presented at the Association’s annual conference, XPLOR22, being held September 13-15, 2022, in St. Pete Beach, Florida.
